POSITION OVERVIEW
The Business Manager is responsible for overseeing the Museum’s financial resources and day-to-day business operations, including payroll, AP/AR, account reconciliation, sales tax filing, and the annual audit process.
DUTIES AND RESPONSIBILITIES
This position supervises, reviews, and tracks all aspects of the Museum’s budget and financial affairs. Specific duties include, but are not limited to, the following:
• Assist with developing and implementing an annual operating budget for individual departments, funds, cost centers, and programs within the Board’s established guidelines and strategic goals.
• Manage cash flow and expenditures to ensure proper budget compliance.
• Track accounts payable and accounts receivable to ensure that bills are paid on time and that expenses do not exceed income.
• Assist with routine Board communications, such as Board agendas and attachments. • Review and reconcile bank accounts and statements on a monthly basis.
• Prepare timely and accurate monthly financial reports for the Board and Museum Director. Responds to questions regarding financial aspects of the Museum’s activities.
• Manage the Museum’s payroll. Track timesheets, leave accruals, and charging of time to individual accounts.
• Prepare for and manage annual audit process.
• Analyze budget activity and financial information and project cash flow and expenditures to help meet goals and objectives.
• Prepare and present budget reports to staff.
• Establish and maintain effective internal controls over daily cash handling, purchase requisitions, donations, and visitor data to ensure reliability of financial reports and statements.
• Accurately track budget expenses throughout the fiscal year, including specific budgets for capital improvements, maintenance, programs, exhibit development, and special projects and events.
• Record all transactions and journal entries.
• Monitor compliance with purchasing policies and procedures.
• Review income and costs relative to the Museum’s goals and take corrective action as necessary.
• Process budget amendments and transfers and add, change, or delete cost centers as needed.
• Negotiate and supervise equipment leases, renewals, and purchases, in conjunction with Museum Director.
• Assist with development of an annual report.
• Assist with budget planning to support the Museum’s long-range strategic goals.
• Recommend improvements to budget policies, strategies, and procedures as needed.

MINIMUM QUALIFICATIONS AND REQUIREMENTS
Graduation from an accredited four-year college or university with a degree in accounting. Five years of progressively responsible work experience in accounting, tax preparation, or related field, and at least three years of experience using QuickBooks.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
➢ Knowledge of principles and practices of finance administration in accounting, budgeting, and auditing.
➢ Knowledge of, and experience with, not-for-profit and government business practices.
➢ Knowledge of effective records management practices.
➢ Proficiency with Microsoft Office, Word, Excel, and related software and applications.
➢ Strong communication, organizational, and problem-solving skills.
➢ Ability to analyze financial information and accurately manage income and expenditures.
➢ Ability to develop budgets, create purchase requisitions, and track cash flow.
➢ Ability to adapt procedures and systems to meet changing fiscal needs and priorities.
➢ Ability to work effectively in a team environment and collaborate across department lines.
➢ Ability to work under time constraints and handle multiple tasks simultaneously.
➢ Ability to prioritize and follow through on assignments.
➢ Ability to handle confidential information.
WORKING CONDITIONS, PHYSICAL REQUIREMENTS, AND BENEFITS
General office environment. This position involves sitting for extended periods of time. Walking, standing, bending, and occasional lifting is required. Extensive computer usage involving repetitive hand and wrist motion is also necessary. Full-time, 40-hour per week, exempt position. The standard schedule for this position will be Monday – Friday, from 8:00 – 5:00. The salary for this position will be $65,000 and is eligible for dental, vision, health insurance, and a 401(k) retirement account.
