    Primary Purpose of the Position:
    The primary purpose of this position is to assist the Museum Manager in carrying out various types of administrative activities to meet the Museum's mission.      

    Key Responsibilities:
    This position is responsible for but not limited to: 
    • Recruit, train, schedule (keep an accurate calendar), and retain viable volunteers to assist at the welcome desk, discovery carts, assist with special events, education programs, and behind-the-scenes prep work.  
    • Collaborate with the Museum Manager and Friends Board to purchase, organize, and sell merchandise related to the museum’s mission and exhibits. Candidate is responsible for contacting vendors, maintaining stock and cost of goods sold in the square system, and keep monthly inventory up to date. Payment request forms, record keeping, and organization of files are an essential job function.
    • Responsible for keeping spreadsheets for all education classes. Registrations are through phone, walk-in, and online. All sources must be added to the spreadsheet and funds taken for each program. After registration, the candidate is responsible for sending well written confirmation emails. The candidate will work with the Curator of Education to ensure classes have met minimums before deadlines and volunteers for the programs have been confirmed for the classes/events.
    • Responsible for compiling daily reports and submitting monthly statistics to Raleigh, the museum manager, and Friends committees. Reports must be consistent, on-time, and accurate.
    • Will work with the museum manager and educator to include content for the newsletter. They will also create informational signage for closures, special events, or emergencies. Assistance with media content such as volunteer updates, new gift shop items, and updating the volunteer group on Facebook is expected.
    The North Carolina Maritime Museum is a part of the Division of State History Museums under the North Carolina Department of Natural and Cultural Resources (DNCR). The mission of the NC Maritime at Southport is to collect, preserve, and interpret material culture pertinent to the maritime history of the Lower Cape Fear region.

    Knowledge, Skills and Abilities / Competencies

    To qualify for this position, you must meet ALL the following KSAs listed below:

    1. Demonstrated supervisory experience and planning the work of others.  
    2. Demonstrated experience in organizing workflow and coordinating activities.   
    3. Demonstrated experience in the use of several software programs, including, but not limited to: Microsoft Word, Excel, Publisher, Power Point, Benchmark (newsletter), Facebook, Twitter, and/or Instagram.
    4. Must be able to work some nights and weekends.  
    5. Must have a valid NC Driver's License or be able to obtain one within 30 days of hire.  
    6. Must be able to lift 50 lbs while bending, twisting to lift items and to carry to storeroom.  
    Management preferences:
    1. Three (3) plus years of office work experience with an emphasis on working with the public. 
    2. Gift Shop or sales experience. 
    3. Experience working with volunteers and/or volunteer training.
    4. Public Notary.
    5. An Associate’s or Bachelor’s Degree in a related field from an accredited institution.
       
    Minimum Education and Experience Requirements

    High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
