    Special Events Manager

    The Arkansas Museum of Fine Arts (AMFA), located in Little Rock, AR, seeks a Special Events Manager to advance the institution during a transformative era that includes the construction of a new state-of-the-art facility, scheduled to open in 2022.  Designed by the renowned architecture firm, Studio Gang, the new facility will include landscaped grounds, by the firm SCAPE, and will secure the Arkansas Museum of Fine Arts position as one of the top cultural institutions in the region. The new building includes expanded galleries, a new Art School, restaurant, Museum Store, theater, lecture hall, and other programming and event spaces.

    The AMFA is an active partner in the educational, economic, and cultural life of a diverse community, inviting discovery, creativity and learning through engagement with the visual and performing arts.

    Special events and the facility rental program is an important offering and revenue stream in the AMFA’s new facility.  The facility rental program will position the AMFA as the destination for private, corporate, or other events such as breakfasts, luncheons, receptions, evening parties, weddings, and other occasions.  The Special Events Manager will work with AMFA’s in-house catering and restaurant staff to develop a robust program that optimally presents the interior and exterior spaces on the new campus to a range of clients, maximizes revenues, and offers a superior client and guest experience.  This position will also work with AMFA staff on coordinating and implementing select internal events.

    The Special Events Manager will report to the Director of Finance and Administration and will organize, market, budget, promote, and produce private rental events and facilitate internal events.

    Primary Duties and responsibilities

    • ·       Develop and promote a new facility rental program that positions the A/MFA as the premiere site for a range of special events.
    • ·       With AMFA staff, develop internal policies and protocols for the new program, optimizing the client and guest experience and safeguarding the new AMFA facility.
    • ·       Continually strategize and market ways to increase earned revenues while improving the client experience.
    • ·       Responsible to develop business through leadership of the sales process as well as for selling all markets and servicing event bookings.
    • ·       Develop budgets by analyzing revenue and expenditure trends with a targeted emphasis on growing sales.  Monitor, project and adjust as needed throughout the year.
    • ·       Work with the museum facilities team to maintain rental spaces with high standards for cleanliness and safety for clients and their guests.
    • ·       Manage, supervise and motivate museum and event staff to provide excellent service to clients.
    • ·       Build vendor relationships that could be beneficial to the AMFA for in-kind support.
    • ·       Work with Director of Membership and Guest Services on creation of and budget management for event experience programs.
    • ·       Work assigned  events from start to finish including but not limited to:
    •       Coordinating load in / load out.
    •      Overseeing the set-up and tear-down of events.
    •      Serving as a liaison between the rental client and museum staff.
    • ·       Provide a high level of customer service to clients and staff.
    • ·       Other related duties, as required.


    • ·       Bachelor’s degree, in hospitality, hotel or event management preferred.
    • ·       Three to five years of event sales experience, preferably in a similar client service setting or event venue.
    • ·       Must have excellent interpersonal, writing and oral communication skills.  Ability to effectively communicate with all levels of staff and leadership within the museum.
    • ·       Excellent leadership, personnel management and motivation skills.
    • ·       Ability to handle issue resolution calmly and professionally, with close attention to detail is critical – knowing when to get assistance if situation gets out of hand.
    • ·       Muse be efficient at multitasking, providing attention to client and staff needs, while keeping the mission of the museum in mind.
    • ·       Highly organized and proactive individual.
    • ·       Ability to work independently and as a team player.
