Accessibility Policy

The Southeastern Museums Conference (SEMC) is committed to providing inclusive, accessible meetings, conferences, and professional events where all individuals can fully participate. We actively work to reduce barriers and support equitable access for all attendees.

If you require accommodations of any kind—whether listed below or not—please contact SEMC at least 8 weeks prior to the event so we can make appropriate arrangements. Requests received after this timeframe will still be considered, though availability may be limited.

Fragrance Awareness & Chemical Sensitivities

SEMC events are held in smoke-free environments whenever possible. To support attendees with chemical sensitivities, allergies, or respiratory conditions, we ask participants to minimize or avoid the use of fragranced products, including perfumes, colognes, and scented personal care items.

Deaf, Hard of Hearing & Communication Access

SEMC is committed to ensuring access for attendees who are Deaf or hard of hearing. Upon request, accommodations may include:

  • American Sign Language (ASL) interpreters

  • Real-time captioning (CART)

  • Assistive listening devices

  • Note-taking support

Attendees who require a personal support person may request a complimentary registration for that individual. Support persons are not eligible for professional credit.

Lactation & Family Support

SEMC provides access to a private, non-restroom lactation space upon request. We welcome advance communication regarding caregiving-related needs and will make every effort to support attendees with family responsibilities.

Mobility Access

SEMC prioritizes venues that meet or exceed ADA accessibility standards, including step-free access, elevators, and accessible restrooms.

  • Meeting spaces include accessible seating, aisle space, and wheelchair access points

  • Presenters who require alternative setups (such as podium adjustments or seated presentations) are encouraged to notify SEMC in advance

  • If a program includes locations with limited accessibility (such as outdoor or historic sites), this will be clearly noted in advance whenever possible

Service Animals

Service animals are welcome at all SEMC events in accordance with applicable laws. As events are held in third-party venues, venue-specific policies may apply; SEMC will work with attendees to support access whenever possible.

Blind, Low Vision & Accessible Materials

SEMC supports attendees who are blind or have low vision by offering:

  • Accessible digital materials (screen-reader compatible formats when available)

  • Large-print materials upon request

  • Navigation assistance from staff or volunteers, when requested

Attendees may also request a complimentary registration for a personal support person.

Additional Accessibility Support

SEMC recognizes that accessibility needs are diverse and evolving. Additional accommodations may include:

  • Medically necessary dietary accommodations

  • Quiet or reflection spaces

  • Sensory-friendly considerations

  • Hybrid or virtual participation options, when available
