    The Atlanta History Center is looking for a highly motivated and results-oriented professional to fill a full-time position, within the organization of Private Events Sales Associate and Caterease Administrator.


    The individual will assist the sales team in venue sales for social events, weddings and corporate functions through creative and effective sales strategies that strive for increased revenues yet maintain the integrity of the institution’s mission, facility and reputation. The individual will also maintain the Caterease system including updates, troubleshooting, maintain event calendar and train staff using Caterease.


    The successful candidate will be a strategic and innovative thinker, as well as a self-starter who demonstrates strong interpersonal, verbal, and written communications skills and energy, creative vision, and a sense of humor and charisma; has strong organizational and analytical ability, in addition to a positive attitude and human relations orientation; is goal-oriented and able to juggle multiple tasks simultaneously and meet myriad deadlines; and possesses a strong sense of personal and professional integrity with the ability to exercise authority and accept responsibility.


    Responsibilities

    • • Handle inquiries via web, email and phone from potential special events clients, schedule and conduct site tours, book & plan events and prepare rental contracts
    • • Work with clients, caterers, and other applicable vendors to plan events within institutional guidelines
    • • Become proficient in department booking and floor planning software
    • • Ensure customer satisfaction and follow-up on rentals; responsible for invoicing clients and other post-event follow up as needed
    • • Cultivate and preserve a mutually beneficial relationship with caterers, vendors, and other venues to increase the effectiveness, efficiency and profitability of the institution
    • • Attend industry events, networking functions, trade shows and meetings as AHC representative to promote rentals of AHC facilities and the AHS overall
    • • Attend weekly and monthly coordination meetings
    • • Work collaboratively with AHC Staff and key departments to understand the institutional objectives and strategies related to AHC mission and other activities
    • • Establish and maintain good working relationships with colleagues, donors, volunteers, senior managers, and trustees, with an emphasis on tact, diplomacy, flexibility, collaboration, professionalism, and discretion


    Business Management Functions

    • • Act as Caterease Administrator; Maintain, update, and troubleshoot Caterease program and event calendar & train staff using Caterease, as needed
    • • Customize and run business analysis reports through Caterease to interpret and predict consumer/business trends and the impact on sales, advertising spending, etc.
    • • Gather and catalogue all research into databases or files for future reference
    • • Interpret data and formulate recommendations for change where needed
    • • Work with organization Executives to assist with preparation and management of annual departmental budget
    • • Assist with building and maintaining contact databases, event files and vendor information
    • • Receive and track vendor referral revenue program
    • • Other duties as assigned

    Qualifications

    • • Bachelor’s degree from an accredited college or university
    • • At least two years of special event sales or event planning experience is required
    • • Excellent communication skills
    • • Ability to think creatively and innovatively
    • • Budget-management skills and proficiency
    • • Must be detail-oriented and a good decision maker who works well under pressure
    • • Good time management, communication, customer service and organizational skills are required
    • • Proficiency with Caterease is desired
    • • Must be proficient with Excel, Word and Outlook
    • • Flexible schedule: ability to work nights and weekends as needed
    • • Other responsibilities as assigned
